These Terms and Conditions apply when you receive consultations, investigations, treatment or related healthcare services from Theralife Clinics Ltd (“Theralife”, “we”, “us” or “our”).
Please read them carefully before commencing treatment.
These Terms form part of the contractual relationship between you and Theralife. They should be read alongside:
These Terms do not replace the process of informed clinical consent. Consent to treatment is a separate and continuing clinical process.
Nothing in these Terms affects your statutory rights.
Theralife Clinics Ltd provides independent healthcare services in England and is registered with the Care Quality Commission (“CQC”) for the regulated activities for which registration is required.
Our services may be delivered by appropriately qualified medical practitioners, therapeutic radiographers and other healthcare professionals, supported where appropriate by Medical Physics Experts, Radiation Protection Advisers and other specialist personnel.
The healthcare professional responsible for your care will exercise their own professional clinical judgement.
No provision in these Terms requires a healthcare professional to provide treatment that they consider clinically inappropriate, unsafe, unnecessary or contrary to their professional obligations.
Theralife provides specialist consultation, assessment and treatment services, including low-dose radiotherapy and other treatments falling within our registered scope of practice.
The precise treatment offered to you will depend upon:
Being offered an appointment or consultation does not guarantee that treatment will subsequently be recommended or provided.
Before treatment is undertaken, you will be appropriately assessed.
You must provide complete and accurate information about your health, medical history, medication, allergies, previous treatment and any other information reasonably requested by our clinical team.
You must inform us if relevant information changes during your care.
Treatment may be declined, postponed, modified or discontinued where a healthcare professional considers that:
Where appropriate, the reasons will be explained to you and alternative options or onward referral may be discussed.
Clinical decisions are made by appropriately qualified healthcare professionals.
Theralife’s directors, management team, administrative staff and commercial arrangements will not improperly influence clinical decisions.
Neither payment for a consultation nor payment towards treatment entitles a patient to receive treatment where the responsible clinician considers that treatment would not be clinically appropriate.
Treatment may involve members of Theralife’s multidisciplinary clinical team.
Therapeutic radiographers may undertake duties within their professional competence and scope of practice, including treatment preparation, delivery, verification, patient care, quality assurance and other activities authorised within Theralife’s clinical governance arrangements.
All clinical staff are required to work within:
Where appropriate, clinical staff work under written procedures, protocols and defined professional responsibilities.
Where your care involves medical exposure to ionising radiation, the exposure will be undertaken in accordance with applicable legislation, professional standards and Theralife’s radiation governance arrangements.
Medical exposures will only be undertaken where appropriately justified and authorised.
Theralife maintains arrangements for radiation protection, equipment quality assurance, clinical governance and specialist medical physics support.
Your treating clinician will discuss material risks, anticipated benefits and reasonable alternatives with you as part of the consent process.
No treatment will be provided without appropriate consent.
Before treatment, you will be provided with information reasonably required to make an informed decision, which may include:
You may ask questions at any stage.
You may withdraw consent before or during a course of treatment. Withdrawal of consent will not affect your right to receive appropriate care, although it may mean that the proposed treatment cannot continue.
Consent is an ongoing process. Your clinical team may revisit consent if circumstances change or if there is a significant interval between assessment and treatment.
Healthcare outcomes cannot be guaranteed.
Individual responses to treatment vary and depend upon factors including the nature and severity of the condition, individual physiology, previous treatment and other clinical circumstances.
Information provided about likely outcomes, response rates or expected improvement represents clinical guidance based upon available evidence and professional experience. It is not a guarantee of a particular result.
Nothing in this section excludes or restricts Theralife’s responsibility to provide services with the standard of care required by law.
Patients are responsible for attending appointments at the agreed date and time.
Please tell us as soon as possible if you cannot attend.
Theralife may occasionally need to change an appointment because of:
Where this occurs, we will make reasonable efforts to rearrange your appointment promptly.
Clinical safety takes precedence over appointment schedules.
You will be informed of applicable fees before chargeable services are provided.
Fees may include separate charges for:
Where a treatment plan involves several appointments, you will be informed of the applicable charging arrangements.
Unless otherwise agreed in writing, you are responsible for payment of your account.
If a third party, insurer or other organisation has agreed to pay some or all of your fees, you remain responsible for charges that the third party does not pay unless Theralife has expressly agreed otherwise in writing.
Where applicable, you will be informed whether a consultant’s professional fees:
Where a consultant contracts directly with you for a separately charged professional service, their own terms may also apply.
Theralife will seek to make the charging structure clear before you incur the relevant cost.
Payment is due in accordance with the payment arrangements communicated to you.
Theralife may require payment:
We may postpone non-urgent services where sums properly due remain unpaid, provided doing so would not compromise patient safety or conflict with our professional or regulatory obligations.
We recognise that appointments sometimes need to be changed.
Patients should provide as much notice as reasonably possible when cancelling or rearranging an appointment.
Theralife may apply a reasonable cancellation or non-attendance charge where:
Any cancellation charge will reflect the circumstances and the reasonable costs or losses associated with the reserved appointment. We will take account of exceptional circumstances where appropriate.
No cancellation provision in these Terms limits any statutory cancellation right that applies to the particular contract.
If you have paid in advance for treatment that Theralife subsequently determines cannot appropriately be provided, any amount paid for services not supplied will normally be refunded.
Charges may remain payable for consultations, assessments, investigations or other services already provided.
Where treatment is discontinued part-way through a course, we will review the account and determine the appropriate balance having regard to:
To enable us to provide safe and effective care, you agree to:
Abusive, threatening, discriminatory or violent behaviour towards staff, patients or visitors will not be tolerated.
Where appropriate and safe to do so, Theralife may terminate or restrict a patient’s access to non-emergency services because of serious or persistent unacceptable behaviour.
Theralife is a specialist independent healthcare provider and is not an emergency medical service.
If you experience a medical emergency, you should contact the appropriate emergency service or attend an appropriate emergency healthcare facility.

Where information is anonymised so that individuals can no longer be identified, it may be used for legitimate clinical governance, statistical and service-development purposes.
Any use of identifiable information for research or another purpose outside the provision and management of healthcare will be subject to the applicable legal and ethical requirements.
Theralife and its clinical staff owe duties of confidentiality in relation to patient information.
Information will not ordinarily be disclosed to family members, friends or other third parties without appropriate authority unless disclosure is otherwise permitted or required by law.
There are circumstances in which information may need to be disclosed without consent, including where required by law or where there is an appropriate legal basis relating to serious safety, safeguarding or regulatory concerns.

Raising a complaint will not adversely affect the standard of care you receive.
Information about how to make a complaint and any available external escalation route will be provided upon request and is available through Theralife’s published complaints information.
Theralife operates within the regulatory framework applicable to independent healthcare providers in England.
Our clinical professionals are required to maintain appropriate professional registration where required and to comply with the standards applicable to their profession.

In particular, nothing in these Terms excludes or limits liability for:
Nothing in these Terms is intended to remove or reduce the professional duties owed to you by healthcare professionals involved in your care.

Patient safety will remain our overriding consideration.
Where treatment is affected, we will take reasonable steps to communicate with you and make appropriate alternative arrangements.
